department and facilitates nearly all administrative functions. They support faculty, staff, and students alike conducting tasks
of all types relating to higher education. Those who enjoy staying busy, working autonomously, learning, and working with

Within the large and dynamic Social & Behavioral Sciences Department, the Administrative Assistant performs advanced
and confidential administrative support duties, including composing routine correspondence, meeting minutes, financials,
and obtaining factual information requiring knowledge of policies/procedures of both assigned and work related areas.
Assists with the hiring of all faculty, staff, and part-time employees. Manages, oversees, and keeps record of budget
expenditures. Facilitates the collection of syllabi and book orders. Processes purchase orders and makes purchases with a
University P Card. Proactively anticipates needs and developed departmental procedures to student traffic and phone calls.
Maintains department spreadsheets and enters data frequently. Makes appointments for the Department Chair. Makes
travel arrangements for faculty candidate interviews as well as assist with student travel.chair. Supervises part-time
administrative employees. Maintains familiarity with the needs, staff, structures, and processes of department programs.

Summary of Responsibilities


  • Performs advanced and confidential administrative support duties, including composing routine correspondence, meeting minutes, financials, and obtaining factual information requiring knowledge of policies/procedures of both assigned and work related areas. Assists with hiring of all faculty, staff, and part-time employees.
  • Informs students, faculty, and public of departmental and university services available and answers incoming calls and walk-in traffic. Participates in recruiting and student orientation events as needed.
  • Coordinates the preparations and submission of reports, publications, and newsletters. Coordinates department financial activities, including timecards, ePAFs, eSAFs, new hire paperwork, requisitions, purchase orders, travel requests, index tracking and reconciliation, budget balances, etc.
  • Maintains inventory of office equipment and supplies and performs other office duties as needed which may include supervision of office support. Maintains unit files, inventories, ordering, receiving, billing, distributing, monitoring, and reconciling expenditures.
  • Perform miscellaneous job related duties as assigned, including overseeing the training and direction of department part-time administrative support.


Qualifications / Licenses / Certifications

Standard high school diploma or equivalent plus four years of previous administrative experience with related key roles and responsibilities is required. Prefer an associate's degree in business administrative or other administrative field. Experience as an event planner is preferred.
