Job Description
Student Health and Counseling Services is accepting applications for an Administrative Assistant. Under the supervision of the Director of Student Health and Counseling Services, this role involves various responsibilities, as it serves as the initial point of contact for prospective patients or clients at the clinic. This position plays a vital role in connecting patients or clients with the care provided by the clinical staff. Prioritizing patient services, it acts as a liaison with both internal and external departments to create an environment that encourages patient comfort and trust.
Responsibilities
Patient/Client Administrative Services:
- Coordinate patient and client appointments according to pre-established schedules to ensure the clinic can efficiently and effectively serve an optimal number of individuals
- Gather preliminary details about the chief complaint or reason for the visit
- Verify and update contact information and inform patients of the necessary documentation required for their appointment.
Patient/Client Clinical Services:
- Greet patients, clients, and visitors at SHCS in a welcoming and friendly manner
- Identify the purpose of their visit and guide them to the appropriate staff
- Deliver excellent customer service with diplomacy and tact while maintaining confidentiality and privacy in compliance with SHCS policies and FERPA regulations.
- Ensure the patient waiting area and front desk are kept clean, organized, and presentable.
- Apply problem-solving and conflict resolution skills to address patient, client, or parent complaints, referring issues to designated personnel when necessary
- Support practitioners, nursing staff, and counselors to optimize patient outcomes
- Assist with crisis patients as needed, adhering to clinic protocols.
General Administrative:
- Provide information to clinic callers in accordance with SHCS Policies and Procedures, transferring calls as necessary and coordinating communication with clinic staff
- Collaborate with staff to maintain adequate phone coverage at all times
- Inform patients about billing policies
- Respond to emails received via the general office email address
- Manage office supply inventory, handle daily incoming and outgoing mail and faxes, and scan patient information into records
- Serve as a backup for the Administrative Specialist by assisting with tasks such as time entry, procurement card reconciliation, travel entry, and invoice or contract payments, as needed.
Immunization Compliance:
- Assist with immunization compliance process efforts
- Provide accurate information regarding required immunizations and compliance status to applicants
- Assist with communication efforts to non-compliant students
External Relations:
- Collaborate and contribute to the development and enhancement of programs and services to address the evolving needs of students and achieve desired outcomes
- Share information about SHCS programs and services
- Actively engage with campus and community partners to enrich the educational environment and enhance the student experience.
Qualifications
Minimum Qualifications
1. High school diploma or GED with experience working as a medical receptionist or other relevant role in a comparable health setting
2. Knowledge of medical and counseling terminology
3. Ability to exercise a high degree of diplomacy and tact
4. Demonstrated customer services and interpersonal communications skills
5. Well-developed verbal and written communication skills
6. Demonstrated cultural sensitivity and ability to work with diverse patient/client populations
7. Electronic Medical Records and intermediate computer knowledge and skills
8. Knowledge of basic office procedures
9. Advanced phone skills
10. Ability to effectively relate via the telephone and in-person
11. Ability to handle a fast-paced environment, accommodate changing needs of SHCS and prioritize tasks based on importance
12. Ability to work independently with minimal supervision, as well as within a broader team
13. Knowledge of confidentiality/privacy policies and FERPA regulations
Preferred level/type experience and years of experience
1. Prior administrative or clerical experience in a university-based health and counseling setting
2. Completion of a certificate program
3. Current CPR/AED certification
4. Triage and/or emergency experience
